Cancellation Policy – Terms & Conditions

How to Cancel 

1.1 If you know your event manager, please contact them directly via text or call. 
1.2 Be sure to include your full name, event date, and event time. 
1.3 If you do not know your event manager or cannot reach them, contact our office by replying to this email or calling us at (734) 780-5800. 
1.4 We require written notice (text or email) for all cancellations to be valid. 

 
 

Weather Cancellations 

2.1 If cancelling due to weather on the day of your event, you must first contact your event manager directly. 
2.2 If cancelling before the day of your event, submit the Cancellation/Reschedule Request Form on our website or contact our office directly. 
2.3 Upon cancellation, you will receive a $60 credit voucher from your deposit, valid for one-time use on a future booking. 
2.4 If you cancel a second time, a $40 rebooking fee will be applied. 
2.5 No refunds, partial credits, or pricing adjustments will be issued after our staff has arrived and begun setting up. 

 
 

Rescheduling 

3.1 All rescheduling requests must be submitted through the office — by phone, email, or website form. 

3.2 All rescheduled events must be rebooked with your original event manager (upon their future availability)  
3.3 Your deposit must be used toward the same type of package or activity. 
3.4 Weekday (Mon–Fri) events cannot be rescheduled to a weekend (Sat/Sun) without placing a new deposit and making a new reservation. 
3.5 All Saturdays are considered blackout dates for rescheduling. (You may choose any available Sunday through Friday)
3.6 If you wish to reschedule for a Saturday, the full deposit must be paid again. 
3.7 Rescheduled events are subject to current pricing at the time the new date is confirmed. 
3.8 We cannot guarantee availability on your preferred reschedule date, especially during peak season. 

 

Rainy Day Alternatives 

4.1 We do not cancel for rain unless conditions are severe or unsafe. 
4.2 If weather may impact your event, you can choose to switch to our Zootopia Indoor Package, which includes: 
• 6–8 small animals 
• Music (via Bluetooth speaker) 
• Bubble machine (outdoor use only) 
• 1 Simple lawn game (cornhole, rope the steer, etc.) 
4.3 Zootopia Package: $210 for the first hour, $75 per additional 30 minutes 
4.4 Once confirmed, a 1-hour minimum charge applies. 
4.5 If Chamberlin cancels your event due to severe weather or emergency, you will receive a full deposit refund. 
 

Tent Use Policy 

5.1 We provide a 10x10 or 10x20 heated animal tent when temperatures drop below 40°F or if animals require shade/shelter. 
5.2 Regular tents for animal shade are available upon request and based on availability. 
5.3 If you need a tent for pony rides or for guests, please contact our office to check pricing and availability. 
 

Large Events & Festivals 

6.1 For festivals and public events, cancellations must be made at least 1 day in advance 

 6.2 If cancelled with less than 24 hour notice, you will: 
• Forfeit your deposit 
• Be billed for 50% of your total event cost (including any travel, setup, or staffing expenses) 

 
 

Peak Season Policy (May–October) 

7.1 During high season, our schedule fills quickly. We recommend rescheduling as early as possible. 
7.2 Credit vouchers are only valid once and cannot be reissued if you cancel again. 
7.3 We are unable to guarantee the same event manager for rescheduled events.
